8 Best Workflow Automation Tools for Teams (2026)

The Rank Master editorial team

The eight best workflow automation tools for a team choosing software in 2026, in the order a four-point scorecard puts them, are Zapier, Make, Pipedream, Pabbly Connect, Microsoft Power Automate, IFTTT, Activepieces and n8n. Zapier, Make and Pipedream are the three that pass all four checks: a free plan, a published price a team can buy without talking to sales, a stated 1,000 or more integrations, and an enterprise tier. The other five each miss one. Every fact below comes from the vendor's own pricing and feature pages as recorded between 23 September and 16 October 2026, and each entry shows its read date.

If you already know what you need, start here:

  • The widest app coverage: Zapier, which states more than 9,000 apps.
  • A visual builder with a free plan: Make, with paid plans from $10.59 a month billed monthly.
  • Code steps and webhooks: Pipedream, which describes itself as workflow automation for developers.
  • Microsoft 365 and Windows desktop work: Microsoft Power Automate, from $15 per user a month paid yearly.
  • Running it on your own server: n8n and Activepieces both have a free self-hosted edition.
  • Smart-home and light personal use: IFTTT, with Pro from $4.99 a month.
  • A one-time payment instead of a subscription: Pabbly Connect, whose lifetime plans start at $349.

How we chose these 8

Scope. For this page a workflow automation tool lets a team build trigger-and-action automations across business apps, and is not tied to one device maker or one store platform. That scope removed two tools in the fact table, Apple Shortcuts and Shopify Flow, which are listed under "Considered and left off" below.

The scorecard. Each remaining tool earns one point for each of four checks, answered only from what the vendor publishes:

  1. A free plan. A free plan that does not expire counts, and so does a free self-hosted edition (n8n and Activepieces). A time-limited trial alone does not (Microsoft Power Automate).
  2. A published price. At least one paid plan is priced on the vendor's page, not "contact sales".
  3. Reach. The vendor states 1,000 or more integrations. Vendors count integrations in different ways, so this checks the claim, not the quality of each connection.
  4. An enterprise tier. The vendor offers a plan or a quote for larger organisations.

The bar and the order. To be listed, a tool needs at least 3 of the 4 points. Eleven tools were scored and eight met the bar, which is why the title says 8. The order is points first, then the larger stated integration count, then the lower published monthly entry price. Where Make and Pipedream both state more than 3,000 apps, Make comes first on its lower entry price.

What the score does not tell you. It screens what is published. It says nothing about how well a tool fits your process, which is why each entry has a best-for line, what it costs and where it falls short. This page reports what vendors publish and is not a hands-on test, and it carries no ratings or reviews. Prices change, so check the vendor's page before you buy.

Sources and dates. Prices and plan limits were recorded from each vendor's pricing page on 23 September 2026 (Zapier, Make, Pipedream, Microsoft Power Automate, IFTTT and n8n), 25 September 2026 (Activepieces) and 16 October 2026 (Pabbly Connect). Features and integration counts come from each vendor's home or product page, recorded on the same dates or up to two days earlier. We use the same method-first format as in our comparison of twelve B2B SaaS SEO and AEO agencies.

The 8 best workflow automation tools

1. Zapier

Zapier connects web apps so that an event in one, such as a new form entry, starts actions in others. You build these automations, called Zaps, in a visual editor, and you can add AI steps, Tables for storing data, Forms and AI agents. It states a library of more than 9,000 apps, the largest figure any of the eight states, and it is used by individuals, small businesses and larger teams.

  • Best for: teams that want the widest app coverage for everyday admin. Uses recorded for it include sending new web-form leads into a CRM and a Slack channel, copying email attachments to cloud storage, and adding new orders or calendar events to a shared spreadsheet.
  • What it costs (read 23 September 2026): the Free plan gives 100 tasks a month, two-step Zaps only, and unlimited Zaps, Tables and Forms. New accounts can also try Professional free for 14 days, with no credit card. Professional runs from $29.99 a month billed monthly or $19.99 a month billed yearly, for 750 tasks a month at the entry tier, and the price rises with the task tier. It adds multi-step Zaps, premium apps, webhooks and AI fields. Team runs from $103.50 a month billed monthly or $69 a month billed yearly for 2,000 tasks a month at the entry tier, and adds shared Zaps, folders and app connections and SAML SSO. Enterprise is priced by sales contact.
  • Where it falls short: every Zap step, AI step, code run and connector call draws from one shared monthly task allowance, so a multi-step Zap uses more of it per run. The free plan allows only two-step Zaps and 100 tasks a month, and multi-step Zaps, premium apps and webhooks need a paid plan. Agents and Chatbots are sold as add-ons.

2. Make

Make lets individuals and teams build automations, called scenarios, by linking app modules on a visual canvas with routers, filters and schedules. It states more than 3,000 apps, including more than 350 AI apps, and its AI tools and AI agents (beta) can use Make's AI provider or your own model key. Usage is billed in credits, and each module action counts as one credit. According to its about page, Make is part of Celonis.

  • Best for: teams that want to see and branch a process visually. Uses recorded for it include syncing new e-commerce orders into accounting tools and spreadsheets, routing incoming leads to different teams based on form answers, and scheduling recurring reports that pull data from several apps.
  • What it costs (read 23 September 2026): the Free plan is $0 for 1,000 credits a month, 2 active scenarios and a 15-minute minimum interval between scheduled runs. Core is $10.59 a month billed monthly or $9 a month billed annually for 10,000 credits a month, with unlimited active scenarios, 1-minute scheduling and Make API access, and the price rises with credit volume. Pro is $18.82 a month billed monthly or $16 billed annually and adds priority execution, custom variables and full-text log search. Teams is $34.12 a month billed monthly or $29 billed annually and adds teams and team roles and shared scenario templates. Enterprise is by sales contact.
  • Where it falls short: each module action uses a credit, so multi-step scenarios use credits faster. The free plan is limited to 2 active scenarios and runs no more often than every 15 minutes, and team roles and shared scenario templates require the Teams plan or higher. Its AI agents are labelled beta.

3. Pipedream

Pipedream is a workflow automation platform for developers. A workflow combines a trigger, such as a webhook, a schedule, an email or an app event, with prebuilt actions for more than 3,000 apps and custom code in Node.js, Python, Go or Bash. Its Connect product lets developers add managed app authentication and integrations to their own products and AI agents. Workday announced an agreement to acquire Pipedream on 19 November 2025, and Workday's results release of 24 February 2026 states that the acquisition closed. Pipedream's self-serve plans were still listed on its site when recorded.

  • Best for: developers and technical teams. Uses recorded for it include receiving webhooks from one service and reshaping the data before sending it to another, running scheduled scripts that call APIs without managing servers, and adding third-party app connections to a software product or AI agent.
  • What it costs (read 23 September 2026): the Free plan gives 100 credits a month (usage capped), 3 active workflows, 3 connected accounts and 1M AI tokens. Basic is $45 a month billed monthly or $29 a month billed annually ($348 billed annually) for 2,000 credits a month, 10 active workflows, 5 connected accounts and 20M AI tokens. Advanced is $74 a month billed monthly or $49 billed annually and adds unlimited workflows and connected accounts, premium apps, GitHub Sync and 50M AI tokens. Connect is $150 a month billed monthly or $99 billed annually for 10,000 credits a month, with Connect in production for 100 external users and then $2 per user. Business is custom, by sales contact.
  • Where it falls short: the free plan is small, at 100 credits a month and 3 active workflows, and Basic is limited to 10 active workflows and 5 connected accounts. Premium apps and GitHub Sync need Advanced or higher. Pipedream describes itself as built for developers and its recorded uses involve webhooks and scripts, so check that someone on your team writes code.

4. Pabbly Connect

Pabbly Connect links more than 2,000 apps so that a trigger in one app runs actions in others, using multi-step workflows with routers, filters, delays and code steps in JavaScript or Python. Triggers and internal steps such as filters and formatters do not count as tasks. It also has a human-in-the-loop approval step, an AI Assistant and MCP servers. Alongside monthly and yearly subscriptions it sells one-time lifetime plans. Its maker, Pabbly, also sells billing, email marketing and form tools.

  • Best for: small teams that route leads and orders between business tools. Uses recorded for it include adding Facebook lead-ad leads to Google Sheets or a CRM, sending WhatsApp or email messages from new form or spreadsheet data, and copying new WooCommerce orders into Google Sheets or other business tools. It is also the only one of the eight with lifetime plans.
  • What it costs (read 16 October 2026, in US dollars): the Free plan is $0 for 100 tasks and up to 2 workflows of up to 2 steps each, with no team members and no credit card needed. Standard is $19 a month billed monthly, $16 billed yearly, $15 on 2-year billing and $14 on 3-year billing, for 10,000 tasks a month with multi-step workflows, routers, filters and code steps. Unlimited is $79 a month billed monthly, $69 billed yearly, $65 on 2-year billing and $59 on 3-year billing, with unlimited tasks and unlimited team members. The one-time lifetime plans are Standard Lifetime at $349 (3,000 tasks a month, with feature restrictions), Ultimate Lifetime at $799 (10,000 tasks a month, all features) and Ultimate Plus Lifetime at $1,298 (20,000 tasks a month, all features), each with 1 year of customer support.
  • Where it falls short: the free plan is limited to 100 tasks and two workflows of two steps, and team members are not included on Free or Standard. The lifetime plans have fixed monthly task limits, from 3,000 to 20,000 tasks. The page lists no enterprise tier, which is the point it loses on the scorecard. Its pricing section is geolocated, and the dollar figures here were recorded from a US-dollar view, so confirm the currency and price you are shown.

5. Microsoft Power Automate

Power Automate is Microsoft's automation service for cloud flows that connect apps and services, and for desktop flows that automate tasks on Windows PCs, which is robotic process automation. It states more than 1,400 connectors, offers Copilot help for building flows in natural language, includes process mining, and works inside Microsoft 365 apps such as Teams, Excel and SharePoint.

  • Best for: organisations already on Microsoft 365. Uses recorded for it include routing approval requests and documents in SharePoint and Teams, copying data from invoices or legacy desktop apps into Excel or an ERP system, and automating repetitive data entry on a Windows PC.
  • What it costs (read 23 September 2026): there is no free plan, but a 30-day free trial covers UI-based cloud flows and standard connectors. Every listed price is paid yearly. Power Automate Premium is $15.00 per user a month and includes cloud flows, attended desktop flows, process and task mining (50 MB) and Dataverse storage. Power Automate Process is $150.00 per bot a month for cloud flows and unattended desktop flows. Power Automate Hosted Process is $215.00 per bot a month for unattended desktop flows on a Microsoft-hosted virtual machine. The Process Mining add-on is $5,000.00 per tenant a month, requires Premium, and includes 100 GB of process data storage.
  • Where it falls short: monthly-billing prices are not shown, so you commit to a year to see the rate. The trial covers only UI-based cloud flows and standard connectors. Unattended desktop automation needs the per-bot Process or Hosted Process plan. Power Automate for desktop runs only on Windows, not on ARM processors, and Windows Home editions cannot trigger desktop flows from the cloud. It loses its point on the scorecard because it has no free plan.

6. IFTTT

IFTTT connects apps, web services and smart-home devices through Applets: when a trigger fires in one service, an action runs in another. It states more than 1,000 services, offers ready-made Applets, includes IFTTT.ai for creating automations from a text prompt, and has iOS and Android apps. Its plans are aimed at personal smart-home and productivity use and at small business owners.

  • Best for: an individual or a very small business. Uses recorded for it include controlling smart-home devices such as lights on a schedule or trigger, saving social media posts or email attachments to cloud storage, and getting phone notifications when an RSS feed or service updates.
  • What it costs (read 23 September 2026): the Free plan is $0 for 2 Applets, with unlimited runs and mobile app access. Pro is $4.99 a month billed monthly or $2.99 a month billed yearly ($35.88 a year) for 20 Applets, multi-action Applets, webhooks and the fastest Applet speeds. Pro+ is $14.99 a month billed monthly or $8.99 a month billed yearly ($107.88 a year) and adds unlimited Applets, AI services, queries and filter code, and multiple accounts per service. Pro and Pro+ show a "Try it free" option, but the plans page does not state how long the trial lasts.
  • Where it falls short: the free plan is limited to 2 Applets and Pro to 20, so unlimited Applets require Pro+. Multi-action Applets need Pro, and filter code and AI services need Pro+. Its plans page lists only Free, Pro and Pro+, with no team or enterprise plan, which is the point it loses on the scorecard.

7. Activepieces

Activepieces is a no-code platform for building automated flows and AI agents, with optional TypeScript for custom steps. Its website cites more than 760 integrations, which it calls pieces, while its GitHub README cites a lower figure, so treat the number as the vendor's own. The Community Edition is open source under the MIT licence and free to self-host, and Activepieces Cloud has a free plan and paid team plans. It is aimed at both business and technical teams, and its MCP server lets AI tools such as Claude and Cursor run flows.

  • Best for: teams that want data control or an AI-friendly setup. Uses recorded for it include automating lead routing and notifications between common business apps, running automations on a company's own server, and letting AI assistants trigger prepared workflows through MCP.
  • What it costs (read 25 September 2026): the self-hosted Community Edition is free; you host and maintain it. The Cloud Free plan is $0 for 100 credits a day that reset daily, 1 user, and unlimited flows, agents and tables. Plus is $20 a month for 10,000 credits a month and up to 5 users, with your own AI keys, and extra usage costs $0.007 per credit. Team is $200 a month for 50,000 credits a month, 25 users, SSO and unlimited projects. Ultimate is by sales contact, with credits sized yearly, SCIM, custom roles, audit logs and dedicated support. A flow run costs one credit however many steps it has. No annual price was shown on the page.
  • Where it falls short: the free cloud plan is capped at 100 credits a day and one user. The self-hosted Community Edition lacks Agents and Chat, access controls and audit history, which need a paid plan. Its stated integration count is below 1,000, which is the point it loses on the scorecard.

8. n8n

n8n is a workflow automation platform for building multi-step automations and AI agents on a visual canvas, with the option to add JavaScript or Python code. Teams can run it on n8n's cloud or self-host it, including through a free Community Edition. It charges per full workflow execution rather than per step, and it is aimed mainly at technical teams. It states more than 500 integrations, plus custom HTTP and API requests. n8n describes its licence as fair-code, the Sustainable Use License, with the source available, rather than as open source.

  • Best for: technical teams that want to keep automations on their own server. Uses recorded for it include building an AI agent that answers questions from internal documents, automating lead enrichment and CRM updates with custom logic, and running automations on a company's own server to keep data in-house.
  • What it costs (read 23 September 2026): the Community Edition is free; you run and maintain the server. On n8n's cloud, Starter is $24 a month billed monthly or $20 a month billed annually for 2,500 workflow executions, 5 concurrent executions, unlimited users and 2,300 AI credits a month. Pro is $60 a month billed monthly or $50 billed annually for 10,000 executions, 20 concurrent executions, admin roles and workflow history. Business (self-hosted) is $960 a month billed monthly or $800 billed annually for 40,000 executions, SSO, SAML and LDAP, environments and Git version control. Enterprise is by sales contact. A free n8n Cloud trial with Pro-level features is capped at 1,000 executions and needs no credit card, and the self-hosted Business plan has a 14-day trial that does need one.
  • Where it falls short: there is no free tier on n8n Cloud, so free use means self-hosting the Community Edition. SSO, Git-based version control and multiple environments require the Business or Enterprise plan, and the cloud plans cap monthly executions and concurrent executions. Its stated integration count is below 1,000, which is the point it loses on the scorecard.

Considered and left off

Five more tools were in the fact table. Two fall outside the scope and three scored 2 of 4, under the bar of 3.

  • Apple Shortcuts is Apple's free app for building shortcuts and automations on iPhone, iPad, Mac, Apple Watch and Apple Vision. Automations are specific to a device, so it is a personal-device tool rather than a team tool (App Store and Apple support pages, recorded 16 October 2026).
  • Shopify Flow is a free app for stores on the Basic, Grow, Advanced and Plus Shopify plans. Workflows are built and run in the Shopify admin, so it automates one platform, not business apps in general (Shopify Help Center, recorded 16 October 2026).
  • Workato is an enterprise integration and automation platform with more than 1,200 pre-built connectors. Its four editions are all priced by sales contact, with no free plan and no published price, so it scores 2 for reach and an enterprise tier (pricing page, recorded 23 September 2026).
  • Gumloop is an AI agent builder with more than 300 native integrations. It has no free plan, a 14-day free trial of Pro, and Pro from $37 a month, so it scores 2 for a published price and an enterprise tier (pricing page, recorded 23 September 2026).
  • StackAI is a no-code platform for AI agents and workflows, aimed at IT teams in regulated sectors. Its free plan gives 500 runs a month, 2 projects and 1 seat, and anything beyond that is a custom Enterprise quote, so it scores 2 for a free plan and an enterprise tier. Asana announced on 28 May 2026 that it had completed its acquisition of StackAI (pricing page and Asana release, recorded 23 September 2026).

Questions buyers ask

What is the best free workflow automation tool?

It depends on what you need the free tier for. Seven of the eight have a free plan or a free self-hosted edition: Zapier gives 100 tasks a month with two-step Zaps only, Make gives 1,000 credits a month and 2 active scenarios, Pabbly Connect gives 100 tasks and two workflows of two steps, IFTTT gives 2 Applets, Pipedream gives 100 credits a month and 3 active workflows, and Activepieces Cloud gives 100 credits a day for one user. n8n's free option is the self-hosted Community Edition only. Microsoft Power Automate offers a 30-day trial, not a free plan. The units differ, so test your own process against the limit before choosing.

Should I choose Zapier or Make?

The page's figures point to different trade-offs. Zapier states more than 9,000 apps against Make's more than 3,000, and its paid plans start from $29.99 a month billed monthly against $10.59 for Make's Core. Zapier counts every step, AI step, code run and connector call against one task allowance, while Make counts each module action as one credit. Make's free plan allows 2 active scenarios; Zapier's free plan allows two-step Zaps only. If your process runs through a rarely used app, check the app list first. If it has many steps and branches, compare how each vendor's unit would count your run.

How is workflow automation priced?

By different units, which is why entry prices are not comparable. Zapier and Pabbly Connect meter tasks, Make, Pipedream and Activepieces meter credits, n8n meters full workflow executions, IFTTT limits the number of Applets, and Microsoft Power Automate charges per user or per bot. Activepieces counts one credit per flow run however many steps it has, and Pabbly Connect does not count triggers or internal steps such as filters and formatters as tasks. Read each entry's costs line against your expected volume.

Can I self-host a workflow automation tool?

Two of the eight can be self-hosted for free: n8n through its Community Edition under the Sustainable Use License, and Activepieces through its MIT-licensed Community Edition. You host and maintain the server in both cases. Activepieces' self-hosted edition lacks Agents and Chat, access controls and audit history, and n8n's SSO and Git version control need its Business plan, which is self-hosted at $960 a month billed monthly or $800 billed annually. Among the tools left off, StackAI offers on-premises deployment on its Enterprise plan.
